Terms of use
Version 2026-10-05-draft
This is a draft, published for review. It becomes binding only after legal review, and its wording may change.
These terms are the agreement between your business and BarbOS for the use of BarbOS. By creating an account you accept them on behalf of your business.
1. What BarbOS is
BarbOS is software for barbershops and salons: a till, bookings, an online booking page, messages to customers, stock, commission, the day close and reports. It is provided over the internet, as a subscription.
BarbOS is a tool your business uses. The services sold to your customers, their prices and their quality are yours, and so is the relationship with your customers and your staff.
2. The free trial and the price
A new business uses BarbOS free for 30 days, with everything unlocked and no card asked. Nothing is owed if you stop before the trial ends.
After the trial, the price is the one published on our site for your country on the day you signed up, by the number of professionals who take bookings, counting all your shops together. Managers and reception are not counted.
The bracket changes at the month's renewal, and only if the number of professionals held. We tell you before a change of bracket takes effect; it is never applied in silence.
A founding price, where one is offered, is kept for the period stated when you signed up. Prices in the European list include VAT: the price shown is the price charged.
A year paid ahead costs ten months. If you cancel during a year paid ahead, the service continues until the end of that year and the amount paid is not refunded, except where the law gives you that right.
3. Your account and your team
You are responsible for who you give access to, for the PINs and passwords of your team, and for what is done with them. Tell us at once if you believe an access was misused.
The information you give us about your business must be true, and you must have the right to use BarbOS on its behalf.
4. Your data
The records your business creates in BarbOS — sales, bookings, customers, stock, staff — are yours. We use them to provide the service to you and for nothing else.
You can ask for an export of your data at any time, and for its deletion when you leave. Sales records your business must keep by law remain your responsibility to keep.
How personal data is handled, and who helps us handle it, is in the privacy policy, which is part of these terms.
5. Messages to your customers, and WhatsApp
BarbOS sends messages to your customers about their bookings — a confirmation, a change, a cancellation, a reminder, and a request for a review after the visit — by e-mail and by WhatsApp. Every message names the shop it speaks for.
WhatsApp messages leave from one BarbOS number, through a connection that is not WhatsApp's official business service. Delivery by WhatsApp is therefore not guaranteed: WhatsApp may delay, block or restrict that number at any time, for reasons outside our control. When that happens, messages continue by e-mail where the customer gave an address.
WhatsApp messages are included in the price under fair use: the volume a shop of your size reasonably sends about its own bookings. Messages are sent only about bookings. BarbOS is not to be used for advertising or bulk messaging.
You are responsible for having your customers' agreement to be contacted about their bookings at the number and the address they gave you.
6. Online bookings, payments and tax documents
Card payments, at the counter and online, are processed by the payment provider your business holds its own account with. That contract is between you and the provider; BarbOS records the result and never holds your money.
BarbOS does not issue tax documents for your sales. Invoices, receipts required by law and tax filings remain your responsibility.
7. Availability
We work to keep BarbOS available at all times, and the till continues to record sales when the internet is down and sends them when it returns. We do not promise uninterrupted service: maintenance, failures of our providers and events outside our control can interrupt it.
We keep backups of the database. They exist to restore the service after a failure, not as an archive of your business's records.
8. Acceptable use
You may not use BarbOS to break the law, to send messages nobody asked for, to try to reach another business's data, to test or defeat its security, or to resell it without our written agreement.
9. Suspension and ending
You can stop at any time; the service continues until the end of the period already paid.
If an invoice is not paid, we tell you and give you time to settle it before the account is suspended. A suspended account keeps its data; it is restored when the invoice is paid.
We may suspend or end an account that breaks these terms. After an account ends, its data is deleted within 90 days, unless the law requires us to keep it longer.
10. Liability
BarbOS is provided as it is. To the extent the law allows, our total liability to your business in any twelve months is limited to what your business paid us in those twelve months, and we are not liable for lost profit, lost business or indirect loss.
Nothing in these terms limits a liability that cannot be limited by law, or the rights the law gives to consumers.
11. Changes to these terms
We may change these terms. We tell the owner of each business by e-mail at least 30 days before a change that matters takes effect. Continuing to use BarbOS after that date is acceptance of the new version; if you do not accept it, you may stop.
12. Law and contact
These terms are governed by the law of Ireland, and its courts decide disputes about them. A business established in Brazil keeps the rights Brazilian law gives it that cannot be set aside by contract.
