Gift cards and packages
Credit a customer buys now and spends later — a gift card, a package of visits.
- 1
Open Settings → Catalogue. Under Loyalty and credit, switch the gift card on (the customer says how much, at the till or on your booking page) and add your packages (a price for a number of one service, valid for a number of days). Credit is sold at 0% VAT; the service's own VAT is charged when the service is given.
- 2
Sell it like anything else, at the till or on the phone, with the customer on the sale (Add the customer). A package or a membership is somebody's: the till asks for the customer before it charges. A gift card can be for anybody: its code is on the screen and on the receipt — hand it over — and is sent to the customer when one is named. Somebody new is added right there, with + New customer.
- 3
To spend it, put the customer on the sale and tap Pay with credit, under the ways to pay: what they hold is listed — a package's units for its own service, a gift card's balance — or type a gift card's code. A gift card belongs to whoever holds the code; a package only to its customer. Beside the customer's name the sale says it too (“Package: 4 left”, “Gift card: …”), and a tap there pays with it.
- 4
What the credit does not cover is paid as in any sale — cash or card for the rest. Credit is sold and spent with the internet on.
- 5
Where the business pays commission, the barber earns it on the service when it is given, paid with credit or not — never on the sale of the package.
- 6
A refund gives the credit back: a package's units, a gift card's balance. A sale that sold credit can be refunded while the credit is untouched; once some of it is spent, refund the sales that spent it first.
- 7
Reports keep it apart: “Credit sold (not in takings)” — the money came in, but it becomes takings only when the service is given. On the Day close, where there is one, the day's credit sold is said under the takings, and a sale paid with credit is in the takings on a line of its own, “Paid with credit”, never counted in the drawer.
- 8
A membership's units come back every month, on the day it was sold; the customer is told, and pays for the month at their next visit. The customer is told 30 days before a package's or a membership's last day, and what is left is written off the day after. A gift card never expires. Each customer's page in Customers shows their credit and every movement of it, and the owner's screen counts the credits expiring this month.
